Commons addresses some of the biggest problems that everyone deals with in the daily confrontation with their inbox.

Finding Things Without Having to Be a File Clerk

Commons provides several ways of searching for published content that help to take some of the sting out of organizing and managing collections.

Faceted search functions are available at the site-level and within groups to help you quickly find content based on keywords in posted content and documents. In addition, content can be categorized with structured taxonomy terms to aid in identifying overlapping groups of related items. Between search and tagging, the need for creating explicit container structures (folders) disappears.

Providing Permanent Context for Your Information

Commons provides features to give several levels of context to all of the material published there.

A Commons group is a way to organize published content around a specific project, interest or activity. Each group has its own audience list that controls who may access the contained information, and it’s easy to add or remove people from your group’s audience as your collaborators join and leave. Because of its specific focus, you never have to worry about whether you’re contacting the right people, and people who ‘come late to the party’ can easily catch up.   

For more finely grained context control, Commons provides each group with its own vocabulary of taxonomy terms that any group member can use to categorize group content. Crowdsourcing the organization of your content (within a distinct set of terms created by the group’s organizer) makes it easy to for the team to keep and find content through the entire arc of a project’s lifespan.

Finally, for long-form materials that are meant to be organized and browsable, Commons provides teams with the ability to publish ‘book’ content with a consistent look, hierarchical organization and serial page navigation to ease the creation and understanding of more complicated information that can’t be easily corralled into a single page.

Selecting and Managing Your Audience, Large or Small

Content that’s been published with a community audience is visible to everyone in the CSCU system. Simply provide someone with the link to a page, and they will be able to view and provide feedback on your content, and that content can be updated live so that there is no longer a need to send out new copies or maintain multiple versions.

Typically, most items published on Commons are meant for a more intimate audience. A group's organizer may can determine whether or not group content is restricted by default to group members only. However, ultimate control over the visibility of an individual published item always remains under the control of the author, who may grow or restrict content access independently of the group settings.

In the near future, Commons will be enhanced to allow the creation of public pages, giving group organizers the ability to make specific items available to the World Wide Web.
