Using Commons to Invite People

Group organizers will usually want to invite people to join their group.  By using Commons to send the invitation, you can streamline the process of adding existing Commons members, inviting CSCU colleagues to join your group, and sponsoring guest accounts for participating students, contractors or external collaborators.

Finding the Invitation Page

You can access the invitation page through the invite button on the membership page (hover your mouse over the membership page's buttons if you aren't sure which one you need).

Or you can access it from the 'Invite' link in the menu on the 'Administer group' tab

The invitation page allows you to list people you want to invite by their email addresses and will allow you to customize the message that your invitees receive. If you're not feeling creative, a courteous default is provided.

Adding Invitees

The left column holds a list of invitees.

Once you've added an address, click the plus sign to the right of the input fields to validate and create a new entry on the list. Start typing an email address in the input field and Commons will attempt to complete the invitation against the list of known Commons members.

You can select with your mouse or the arrow keys on your keyboard.

If no Commons member matching the email you've entered is found, Commons will try to handle it appropriately.  If the email domain (after the '@' sign) looks like a CSCU domain, Commons will send an email with instructions.  If the email domain is outside CSCU, it will send an invitation to create a sponsored guest account.  When entering addresses, extra settings may be displayed to find out whether your invitee is using a student account or whether an unusual looking external email address is correct.

Customizing Your Invitation Message

Two default messages are provided on the right side of the invitation page. You may use them as-is or you may personalize them to contain any additional information you want to provide at this time.

The 'Invitation to CSCU Colleagues' message is sent to CSCU staff or faculty (as identified by their email domain) with instructions on how to login to Commons.

The text labeled 'Message to Sponsor a Student or Guest Account' will be sent to students and external email addresses.  If you decide to customize this message, please be aware that there is bracketed placeholder text ('[invitation_link]') that will be replaced in the email with an HTML link to a pre-populated sponsored account request form.  If you remove the placeholder text, the form link will be appended to the body of the message.

Please Note: The logic to distinguish staff from student email accounts is not always straightforward.  If you have the desire to add a student as a guest account, it is preferable to use an external email address and treat them as an outside guest.  If problems arise and it is critical that a student be added to Commons using their institutionally-provided account, please contact the Commons administrators, and we'll help you to find a way to cleanly handle that student's case.
